THE WORK BETWEEN YOUR SYSTEMS

Your software does a lot. You do the rest.

Work often gets stuck between two systems or departments. That’s where we look: what needs to be passed on, and what can happen without repeatedly copying, emailing or checking?

SOUND FAMILIAR?WHAT COULD WORK BETTER

The same information. Entered all over again.

Sales records something. Administration retypes it and operations receives an email.

Pass the right information from the agreed source, with a clear status for the next department.

Every report starts with gathering files.

Exporting, combining files and checking whether you have the latest version.

Collect and process information using agreed rules, so you can review the outcome.

Chasing the next step yourself.

A request is waiting for information, a document or someone’s approval.

A task or notification at the right moment, showing who needs to act and what’s missing.

ILLUSTRATIVE EXAMPLE · NOT A CLIENT CASE

From sales to operations. Without the detours.

Imagine a confirmed order needs to go from sales through administration to operations. Today that means retyping and separate emails. Here’s how a connected process could work.

One order. A clear route.A person decides
  1. / 01

    Sales records the order

A confirmed order starts the process. Customer details in the sales system are the agreed source.

  2. / 02

    Check the information

The integration checks that the agreed information is complete and usable.

  3. / 03

    Administration reviews

A colleague reviews the prepared order and approves it. The handover waits until they do.

  4. / 04

    Operations receives

After approval, the information goes to operations. The recorded status shows whether the handover succeeded.

READY FOR REVIEW / 03

Prepared automatically. Approved deliberately.

Administration doesn’t have to retype the order. A colleague reviews the details and decides whether it can go to operations.

The process only continues after approval.

This shows one possible setup. We define the checks, notifications and recovery steps around your process and systems.

Not everythingneeds tochange.

Your existing systems can often stay.

We first explore what they already offer: configure an existing feature, use an available integration or build the missing steps. Data exchange options, access, costs and limitations determine what’s feasible.

When is automation worthwhile?

When work repeats, the rules are clear enough and you can recognise a correct outcome. The improvement needs to justify both building and maintaining it. Is the process still unclear or constantly changing? Then we start with the process itself.

Start with one process that gets stuck.

You work directly with Jussi. He investigates the question, advises on the solution and handles design and technical implementation.

    An introduction

Show us what happens today and where you get stuck. One recurring task is a good starting point. You don’t need a technical brief.

  2. 02

    Exploration & analysis

Together, we follow the process from trigger to outcome. Which source is authoritative? Who decides? What happens with an exception? We also explore access and the limits of your systems. This analysis is part of preparing the proposal.

  3. 03

    A suitable proposal

You receive a focused solution with scope, timing and investment. We agree what the first improvement should achieve, how to check it and what’s needed for maintenance.

  4. 04

    Build & put into use

Jussi builds the solution. You bring process knowledge and try it with the people involved. We test the normal route and exceptions, and agree how to introduce and hand over the solution.

And who keeps it working?

Before launch, we agree who follows up on notifications, manages accounts and checks supplier changes. Documentation, support and further development are included in those agreements. You know what AYAL handles and what stays with your organisation.

Practical questions.

Can we improve an existing automation?

Yes. We look at how it works, where it goes wrong and whether it still fits your process. Repairing or simplifying may make more sense than rebuilding. Access to the existing solution and supplier agreements determine what’s possible.

What does it cost, and what will you need from us?

That depends on the systems involved, the quality of your information and the number of steps and exceptions. We need someone who knows the process, access to relevant information and someone who can make decisions. After introduction and analysis, you receive a proposal with scope, timing and investment. Analysis is not a separate paid discovery engagement.

How do we know whether the improvement helps?

We agree in advance what you want to improve, such as manual handovers, turnaround time or visibility of open tasks. Where possible, we record the starting point and compare it with the process after launch. We don’t promise savings without measurement.
